# Late Cancellation Email Template for Salons

When a client cancels late, send one short email the same day: name the booking, state the notice window they agreed to, say whether you waived the fee, charged it, or kept the deposit, and offer a clear way to rebook. The templates below cover each case, plus a reply for when the client emails first and a short text from your own phone.

A late cancel still costs you the hour. The difference from a no-show is the client did tell you, just too late to refill the slot.

## When is a cancellation "late"?

A cancellation is late when it lands inside your notice window. Most studios use **24 hours**; longer color, lash, or massage bookings often use **48 hours**. Put that number in your [salon cancellation policy](/blog/salon-cancellation-policy-template) and show it at booking so the client already agreed.

- **On-time cancel:** they cancel or reschedule before the cutoff. No fee. Offer a new time.
- **Late cancel:** they cancel after the cutoff. Fee, kept deposit, or a one-time waive, per your policy.
- **No-show:** they never cancel and never arrive. That is a different message, covered in our [no-show text message templates](/guides/no-show-text-message-templates) (name the missed time, state the fee, offer a rebook). Keep late-cancel and no-show wording separate so the situation stays clear.

**Late means inside your published window, not "whenever it feels inconvenient to you."** Write the window once, apply it the same way.

## Late cancellation email templates for salons

Send these from your own inbox the same day you get the late cancel. Swap the brackets. Keep the tone firm and short.

### Fee waived once (good regular)

Use this when a loyal client cancels late and you choose to waive the fee this time.

> **Subject:** Got your cancel for [day] at [time]
>
> Hi [Name],
>
> Thanks for letting us know about your [service] on [day] at [time]. That falls inside our [24/48]-hour notice window, so a late cancel normally means [fee or deposit].
>
> We're waiving it this once. Going forward, late cancels follow the policy you agreed to when booking.
>
> Want a new time? Book here: [booking link]
>
> Thanks,
> [Your name], [Studio name]

### Fee charged (card on file)

Use this when your policy fee has been charged to the card they saved at booking.

> **Subject:** Late cancel for [day] at [time]
>
> Hi [Name],
>
> We received your cancel for [service] on [day] at [time]. Because it came in with less than [24/48] hours' notice, we've charged the $[amount] late cancellation fee to the card on file, as you agreed when you booked.
>
> If something urgent came up that we should know about, just reply to this email. When you're ready, you can rebook here: [booking link]
>
> Thanks,
> [Your name], [Studio name]

### Deposit kept

Use this when a deposit was collected at booking and your policy says a late cancel forfeits it.

> **Subject:** Your deposit for [day] at [time]
>
> Hi [Name],
>
> Thanks for the heads up on your [service] booked for [day] at [time]. The cancel came in after our [24/48]-hour cutoff, so per the policy at booking we've kept your $[amount] deposit.
>
> That deposit would have gone toward the service if you'd kept the appointment. You can still book a new time here: [booking link]
>
> Thanks,
> [Your name], [Studio name]

### Reply when the client emails you late

Use this when they already wrote first. Answer their email, don't start a new thread.

> **Subject:** Re: [their subject]
>
> Hi [Name],
>
> Thanks for writing. I've released [day] at [time] for your [service].
>
> Because the cancel is inside our [24/48]-hour window, [we've charged the $[amount] late fee / we've kept your $[amount] deposit / we're waiving the fee this once].
>
> Grab a new spot anytime here: [booking link]
>
> [Your name]

### Optional short text (from your own phone)

Rezzy does not send SMS. If you prefer a quick text or iMessage, send it from your own phone.

> Hi [Name], got your cancel for [day] at [time]. That was inside our [24/48]-hour window, so [we've charged $[amount] / kept your deposit / waived it this once]. Rebook here when you're ready: [booking link]

## Do and don't: wording a late cancel email

| Do | Don't |
|---|---|
| Name the day, time, and service | Say "per our policy" with no details |
| Restate the notice window they agreed to | Invent a stricter window after the fact |
| Say exactly what you charged, kept, or waived | Leave them to find a surprise on a statement |
| Offer a booking link in the same email | Make them ask how to reschedule |
| Keep it to a few short paragraphs | Explain how much the empty hour cost you |
| Waive once on purpose for a loyal client | Waive every time, then snap with no warning |

**Clear beats clever.** The client should finish the email knowing what happened and what to do next.

**Want late cancels covered without the chase?** Rezzy shows your policy at booking and can collect a deposit or keep a card on file, so the fee is already handled. [Try Rezzy](/signup) with a 30-day money-back guarantee.

## How do you make late cancels rarer?

The email cleans up after a late cancel. These habits cut how often you send it.

1. **Show the policy at booking.** One or two plain sentences: notice window, fee or deposit, how to reschedule. Clients argue less when they already clicked agree.
2. **Take a deposit.** A client who has paid something cancels earlier, or the deposit covers the empty slot. See [how to take deposits for appointments](/blog/how-to-take-deposits-for-appointments) and the [deposits guide](/guides/take-deposits-or-full-payment).
3. **Keep a card on file.** For services where an upfront deposit feels heavy, a saved card plus a written late-cancel fee is enough. Nothing charges until you decide.
4. **Send reminders with an easy reschedule link.** Most late cancels are last-minute panic. A confirmation at booking and a reminder a day or two out give them an earlier off-ramp. Pair that with habits from [how to reduce client no-shows](/blog/how-to-reduce-client-no-shows).
5. **Fill the slot from a waitlist.** The moment a late cancel lands, text the next person on your waitlist. An empty hour that refills is still annoying, but it is no longer a total loss.

## How does Rezzy handle late cancellations?

Rezzy handles the setup so the email above is confirmation, not a collection letter.

- **Email confirmations and reminders** go out automatically on every plan.
- **Deposits and card-on-file late-cancel fees** are on every plan, so the fee or deposit in your message is already collected or ready to charge.
- **Your booking link** is the same one you paste into any template above.
- **Saving these as reusable email templates**, along with campaigns and email autopilot, is on the Unlimited plan. See [plans on the homepage](/#pricing).

Texts stay on your own phone. Rezzy does not send SMS. If you also email clients about offers or news, check [how marketing consent works](/guides/how-marketing-consent-works) first. A late-cancel notice is about a booking they made, not a promotion.
