# Holiday Hours Email Templates for Salons (Copy and Paste)

A good salon holiday hours email goes out about three weeks before your first closed day. It lists every closed or short day with its date, says when you reopen, and ends with one booking link so clients grab the slots before the rush. Close those days in your booking settings first, so the email and your booking page say the same thing.

Below: a season announcement, a single-day closure, a book-early note for regulars, a one-week last chance, and a back-open note. Got a thin week to fill instead? See the [slow-week email](/blog/slow-week-email).

## When should you send your holiday hours email?

**Send it about three weeks before the first day your hours change.** For a Thanksgiving closure, that's the first week of November.

1. **Close the dates first.** Mark each day closed, or set its short hours, before anything goes out. See [set your hours](/guides/set-your-hours).
2. **Three weeks out:** the announcement, with every date in one email.
3. **About one week out:** one last-chance reminder to clients who haven't booked.
4. **Then stop.** Two emails per closure is plenty.

## What should a holiday hours email include?

1. **Each date written out.** "Thursday, November 26: closed" beats "closed for the holidays."
2. **Closed or short hours.** If you're open 9 to 2 on Christmas Eve, say so.
3. **The day you reopen.**
4. **How to reach you about an existing booking.** "Reply to this email" is enough.
5. **One booking link.** Not a phone number and a DM and a link.

Skip the apology. You're allowed a day off. Skip the panic too: no "limited availability!!" in the subject line.

## What should a holiday hours email look like?

Swap the brackets. Cut any line that doesn't apply.

### Season announcement, Thanksgiving through New Year

Your main email, with every date in one place.

> **Subject options:** Our holiday hours for [year] / Holiday hours at [Studio name], plus when to book
>
> Hi [Name],
>
> Here are our hours for the holidays, so you can plan your visits:
>
> \[Day, date]: closed
> \[Day, date]: open [time] to [time]
> \[Day, date]: closed
>
> We're back to normal hours on [day, date].
>
> The weeks before each closure fill first. If you want to look your best for the holidays, book here: [booking link]
>
> Already booked on one of these days? Reply to this email and we'll find you a new time.
>
> [Your name], [Studio name]

### Single-day closure

For one day off, like Thanksgiving.

> **Subject options:** Closed [day, date] / A quick note about [holiday]
>
> Hi [Name],
>
> Just a heads-up: [Studio name] is closed on [day, date] for [holiday]. We reopen on [day, date] at [time].
>
> Want to get in before then? Book here: [booking link]
>
> Happy [holiday],
> [Your name]

### Book before the holidays, for regulars

For the clients you see every few weeks.

> **Subject options:** Let's get you booked before the holidays, [Name] / Your holiday appointment
>
> Hi [Name],
>
> The holiday weeks are almost here, and I'd love to make sure you're on my book before they fill.
>
> I'm closed [dates] and back on [day, date]. If you'd like your [service] before [holiday], grab a time here: [booking link]
>
> See you soon,
> [Your name]

### One-week last chance

Send it about a week before the first closed day, once.

> **Subject options:** Last week to book before [holiday] / One week until we close for [holiday]
>
> Hi [Name],
>
> A quick reminder: we're closed [dates] and reopen on [day, date].
>
> There are still a few openings this week. Book here: [booking link]
>
> [Your name], [Studio name]

### Back open

Send it the day you reopen.

> **Subject options:** We're open again / Back at it, [Name]
>
> Hi [Name],
>
> [Holiday greeting] from all of us at [Studio name]. We're back to our usual hours as of today.
>
> If your [service] is due, the January book is open: [booking link]
>
> [Your name]

> **Want your booking page to match your holiday hours?** In Rezzy, closing a date takes one line in your settings, and the booking page stops offering it right away. [Try Rezzy](/signup) with a 30-day money-back guarantee.

## What do you tell clients who already booked on a day you're closing?

**Closing a day stops new bookings. It does not cancel the appointments already on it.** So before the announcement goes out, send each of those clients one short, personal email.

> **Subject:** Can we move your [service] on [date]?
>
> Hi [Name],
>
> I'm closing on [day, date] for [holiday], and you're booked with me that day at [time].
>
> Could [option 1] or [option 2] work instead? Or pick any time here: [booking link]
>
> Just reply and I'll move it for you.
>
> [Your name]

## What are the do's and don'ts of holiday hours emails?

| Do | Don't |
|---|---|
| Write out every date | Say "closed for the holidays" |
| Close the dates on your booking page first | Announce a closure clients can still book |
| Send one announcement and one reminder | Send a new email every few days |
| Email anyone already booked on a closed day, one by one | Let them show up to a locked door |
| Promise only hours you'll actually keep | Offer "extra hours" you'll quietly drop |
| Send only to clients who agreed to marketing email | Email your whole contact list |

**Dates, a reopen day, and one link.** That's the whole job.

More templates: a [price increase email](/guides/price-increase-email-template) if your prices change in January, and [referral request email templates](/guides/referral-request-email-template) for asking a happy client to send a friend.

## How do you send a holiday hours email in Rezzy?

**Close the dates first, then send.** Campaigns and saved templates are on the Unlimited plan. On Solo or Studio, you email one client at a time.

- **Close the dates.** Go to **Settings**, then **Availability**, then **Date overrides**. Pick a date and choose **Closed all day**, or **Custom hours** for a short day, then **Add**. Each date is its own line. An override always beats your weekly hours, and your booking page stops offering that day. For a few hours inside a working day, a [blocked time](/guides/block-time-off) is the better tool. See [set your hours](/guides/set-your-hours).
- **Move anyone already booked.** Open the booking and choose **Reschedule** to pick a new time. Rezzy emails the client the updated details. Rescheduling is owner only. See [manage a booking](/guides/manage-a-booking).
- **One client at a time.** Open the client in **Clients**, choose **Actions**, then **Send email**, and paste a template. Best for the note to regulars and the move-your-appointment email. See [email a client](/guides/email-a-client).
- **On Unlimited, send a campaign.** Go to **Marketing**, then **Emails**, then **Campaigns**. Swap the brackets for `{{first_name}}`, `{{business_name}}`, and `{{booking_link}}`, and pick **Everyone with marketing consent**. **Send a test to myself**, then send now or schedule it. See [send a campaign](/guides/send-a-campaign).
- **Keep it for next year.** On a sent campaign's page, choose **Save as template** (Unlimited). See [save and reuse email templates](/guides/save-and-reuse-email-templates).
- **Who it reaches.** Send email and campaigns go only to clients who agreed to marketing email. For a booked client without consent, use your own inbox or call them. See [how marketing consent works](/guides/how-marketing-consent-works).
