No-Show Text Message Templates for Salons
When a client no-shows, send one short message the same day: name the missed time, state the fee or deposit you kept under your policy, and offer a way to rebook. The templates below cover a first no-show, a repeat no-show, a no-show where you charged a fee, and an email version. Copy them, swap the brackets, and send.
When should you message a client who no-showed?
Message them the same day, once you are sure they are not coming. A good rule is 15 to 20 minutes past the start time, or after your grace period ends if your policy has one.
- Same day, not the next morning. The missed time is fresh for both of you, and a quick note reads as care, not a grudge.
- One message, not a chain. If they do not reply, leave it. A second chase reads as pressure.
- Before you charge, or at the same time. A client should never learn about a no-show fee from a card statement.
- Check first. Glance at your messages and voicemail. A real emergency gets grace, not a policy quote.
The goal is a rebooked client who knows your policy is real, not a won argument.
No-show text message templates for salons
These are sent from your own phone, by text or iMessage. Rezzy does not send SMS, so copy the one you need and paste it into your messages app. Each one names the time, states the policy, and offers a next step.

Use this for a good client who slipped once, when you choose to waive the fee.

Missed appointment message for a client who usually shows

No-show email template
Email works better when the fee needs a paper trail, or when you only have the client’s email address. Send it from your own inbox the same day.

Do and don’t: wording a no-show message
| Do | Don’t |
|---|---|
| Name the exact missed time and service | Write “you missed your appointment again” with no details |
| Point to the policy they agreed to at booking | Invent a fee on the spot |
| Say exactly what you charged or kept | Leave them to find the charge on a statement |
| Offer a booking link in the same message | Make them ask how to rebook |
| Keep it to 2 to 4 sentences | Explain how much the empty hour cost you |
| Use one exclamation mark, at most | Use all caps, “per my last message,” or guilt |
| Waive once for a loyal client if you choose | Waive every time, then snap on the fourth |
Firm means clear and consistent. Rude means personal. Your message should read the same whether the client is your favorite regular or a first-timer.
How do you stop the next no-show?
Messaging after a no-show cleans up. Four habits at booking stop most of them in the first place.
- Take a deposit at booking. A client who has paid something shows up far more often, and if they don’t, the deposit covers part of the empty slot. Setup steps are in take deposits or full payment, and the deposit post covers how much to ask for.
- Keep a card on file with a clear no-show fee. For services where a deposit feels heavy, a saved card plus a written policy is enough. The client agrees when they book, so the charge is never a surprise.
- Send reminders. Most no-shows are forgetting, not flaking. A confirmation at booking and a reminder before the visit catch most of them.
- Put the policy where they agree to it. One or two plain sentences on the booking page: what counts as a no-show, and what it costs.
For a repeat no-show, requiring a deposit for every future booking is fair and usually ends the pattern without a confrontation.
How does Rezzy handle no-shows?
Rezzy does the prevention side for you, so you send fewer of the messages above.
- Email confirmations and reminders go out automatically on every plan.
- Deposits and card-on-file no-show fees are on every plan too, so the fee in your message is already collected or ready to charge.
- Your booking link is the same one you paste into any template above.
- Saving these as reusable templates, along with campaigns and email autopilot, is on the Unlimited plan. See plans on the homepage.
Texts stay on your own phone. Rezzy does not send SMS. If you also email clients about offers or news, check how marketing consent works first. A no-show notice is about a booking they made, not a promotion.
